Who We Are

This policy is issued by Gamers Guild Social Club LLC, doing business as Gamer’s Guild Social Club (“the Guild,” “we,” “us”), 119 N Washington Ave, Minneapolis, MN 55401. It covers ggsocialclub.com, the member site reached through it, our text messaging program, and information we collect at the club. It is the only privacy policy for the Guild.

Information We Collect

When you apply: your name, email address, mobile number (optional), city, the membership you are interested in, the games you play and how often, who referred you, what you tell us about your play, and whether you ticked the optional text message box.

When you are a member: your sign-in email, profile details and photo, membership and companion details, reservations, Fellowship membership, event RSVPs, game library and deck checkouts, and club check-ins.

When you turn on texts: your mobile number, the date and time you agreed, the exact consent wording and version you agreed to, your text preferences, and your replies such as STOP, START, and HELP.

Technical information: your browser keeps your sign-in session on your own device, and our hosting providers keep standard server logs (such as IP address and browser type) for security and reliability. We do not use advertising or analytics trackers on this site.

How We Use It

We use this information to review applications; to run your membership, reservations, events, and library; to send the emails and text messages you have asked for; to keep the site and the club secure; and to meet our legal, tax, and accounting obligations. We do not use your mobile number for anything other than the text messages described in this policy and identifying you when you reply.

Text Messaging

Texts are off until you turn them on. You can opt in on your account page by entering your mobile number and ticking the consent box, or by ticking the optional box on the membership application. The box is never pre-ticked and texting is never a condition of membership. We only begin texting after you are a member and confirm your number on your account page.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. The only party that handles your number for texting is our messaging provider, which sends and receives messages on our behalf and may not use your number for any other purpose.

Message frequency varies; a typical active member receives about 4 to 8 messages per month. Message and data rates may apply. Reply STOP to any message to cancel, or HELP for help. Carriers are not liable for delayed or undelivered messages. See our Text Message Terms for full details.

How We Share Information

We do not sell, rent, or trade personal information. We share it only with service providers that run the club’s systems on our behalf, such as website hosting, our member database, email delivery, and text message delivery, and only as needed to provide those services. We may also disclose information when the law requires it or to protect the safety of members, guests, and staff. Within the member site, other members may see limited profile details, such as your name and photo, in features like reservations and Fellowships. Text messaging opt-in data and consent are never shared with third parties, as stated above.

How Long We Keep It

We keep member information for as long as you are a member and afterward only as long as needed for legal, tax, and accounting purposes. Applications that do not lead to membership are deleted when no longer needed. Text consent records are kept for as long as you receive texts and for a reasonable period afterward as proof of consent. An unconfirmed text request from an application lapses after one year.

Your Choices

You can update your profile and turn texts off at any time on your account page, or reply STOP to any message. To see, correct, or delete the information we hold about you, email abaker@ggsocialclub.com; we will respond within 30 days. Some records must be kept for legal or accounting reasons even after a deletion request.

Security

Member information is stored with access controls so that members see only what is theirs to see and staff see only what their role requires. No system is perfectly secure, and we will notify affected members as the law requires if a breach occurs.

Children

This site and our text program are not directed to children under 13, and we do not knowingly collect their personal information.

Changes to This Policy

If we change this policy, we will post the new version here with a new effective date. If a change materially affects how we use your mobile number, we will ask for your consent again before texting you under the new terms.
